Privacy Policy

Greater Mymensingh Association of Pennsylvania ("GMAP," "we," "our," or "us") respects the privacy of members, applicants, volunteers, event participants, donors, website visitors, and people who communicate with us. This policy explains the information we collect, why we use it, and the choices available to you.

1. Information We Collect

Depending on how you interact with GMAP, we may collect information such as your name, email address, mobile number, mailing address, district, occupation, membership information, profile photo, event registration information, communication preferences, and records needed to administer organizational programs.

2. How We Use Information

• Process membership applications and manage member accounts.
• Administer events, programs, committees, tickets, QR passes, and community services.
• Send requested or consented communications, including email and SMS notices.
• Respond to questions and provide member support.
• Protect the security and integrity of GMAP systems and records.
• Comply with applicable legal, accounting, and organizational obligations.

3. SMS and Mobile Information

When you voluntarily opt in to GMAP SMS communications, we may use your mobile number to send transactional messages such as membership and event confirmations, picnic QR/pass links, event reminders, administrative notifications, and member support replies. Message frequency may vary. Standard message and data rates may apply. Reply STOP to opt out and HELP for help.

We will not sell or share your mobile information with third parties for promotional or marketing purposes.

Text messaging originator opt-in data and consent will not be shared with third parties for purposes unrelated to providing the messaging service. We may share limited information with service providers, telecommunications carriers, and technology vendors only as needed to deliver, secure, or support the SMS service, subject to appropriate safeguards.

4. SMS Consent

SMS consent is optional, is collected separately from other agreements, and is not a condition of becoming a GMAP member or participating in an event. SMS consent checkboxes are not pre-selected. You may withdraw consent at any time by replying STOP to a GMAP message.

5. Service Providers

GMAP may use trusted service providers for website hosting, database services, email, messaging, storage, security, payments, or related operational functions. These providers receive only the information reasonably necessary to perform their services.

If you choose to use optional address or city suggestions during membership registration, your lookup text and any city/state context used to refine matches are sent to the Photon geocoding service, which uses OpenStreetMap data. If you select Use Current Location and grant browser permission, or the browser already has location permission when you open the Address step, your current coordinates are sent with the lookup so Photon can prioritize nearby matches. Location access and suggestions are optional; you may enter your address manually. Coordinates are used only to focus the suggestion request and are not added to the membership form.

6. Member Directory and Address Privacy

Public website member areas show only information approved for public display. Inside the authenticated Active Member Directory, member names, email addresses, phone numbers, district, membership information, occupation, and profile information may be visible to other active GMAP members for community connection.

Full home addresses are privacy-controlled. By default, a member's street address, city, state, and ZIP code are hidden from other active members. A member may voluntarily enable address sharing during registration or later from the Member Dashboard and may turn that sharing off again. Super Admin and authorized Executive Committee users may still access full address information when reasonably needed for legitimate GMAP membership administration, governance, records, or organizational operations.

Administrative and membership-application records are not made publicly readable by design.

7. Cookies, Local Storage, and Technical Data

Our website may use browser storage and technical information needed for preferences, authentication, security, accessibility, or site functionality. We may also receive ordinary server or service logs used to protect and operate the website.

8. Data Retention and Security

We retain information only as reasonably needed for membership, event, organizational, legal, security, and recordkeeping purposes. We use administrative and technical safeguards intended to protect personal information, but no online system can guarantee absolute security.

9. Your Choices

You may ask GMAP to correct information, update communication preferences, or stop optional communications. For SMS, reply STOP to opt out. You can also contact us using the information below.

10. Children

Our general website and SMS program are not designed to knowingly collect SMS consent directly from children without appropriate parent or guardian involvement where required.

11. Changes to This Policy

We may update this policy as our services or legal requirements change. The effective date above identifies the current version.
